Key Northwest Acceptance Policy

The following policies are established to ensure that all prospective applicants for a property processed by Key Northwest LLC will be treated equally.


Please read the following policies. If you feel you meet the guidelines for qualifying, we encourage you to submit an application. An application with missing or false information will not be considered. Key Northwest LLC does not accept portable screening reports.


  • Applicants must view the interior of the property before submitting their application.
  • Each person 18 years of age or older must complete and sign an application.
  • All persons who fill out an application are required to pay a $49.00 non-refundable application fee per person.
  • If a co-signer is required, they will need to submit their own individual application and they will be charged the $49.00 non-refundable               application fee. Please let the property manager know the name of your co-signer prior to having them submit an application. 
  • If a service animal will be living in the unit, a doctor’s note will be required as proof of ESA.



  • Key Northwest LLC will obtain a credit report for each applicant 18 years of age or older. Reports supplied by applicants will not be accepted.
  • Key Northwest LLC will run a criminal background check.
  • Discharged bankruptcies are acceptable.
  • Applicants with less desirable credit may require a co-signer and/or a larger deposit.
  • Applicants owing money to a property landlord or property management company will not be accepted.



  • Applicant’s gross monthly income (collectively of roommates) must be at least three times the amount of the monthly rent.
  • Self-employed applicants must provide two years’ tax returns and three (3) months’ bank statements.
  • If you are relying on income from other sources such as Social Security, Welfare or Child Support, please provide documentation to verify this income.
  • All forms of income must be verifiable.
  • Applicants with insufficient income may require a co-signer and/or larger deposit.



  • Current and previous Landlords will be contacted to verify timely rent payments and the condition of the property.
  • If you don’t have rental references, or if you have negative references, we may require a co-signer and/or larger deposit.
  • If your references show money owing to the property landlord or property management company, your application will not be accepted.



  • Your application may be denied because of lack of income, poor or insufficient credit report, missing information on application or negative references reported from employers or rental references. When a credit report is used in making the decision to deny an application, Section
    615(a) of the Fair Credit Reporting Act requires us to tell you where we obtained that report. The reporting agency that supplied the report is: Buildium Property Management software,  1(800) 916-8800.

Key Northwest Rental Procedures


  • You can find most of the information about lease policies and unit specifics on our website. If you still have questions, you may complete a “Contact Us” form on the website and your email will be answered within 48 hours. You may also call us at 360-333-0958.



    • We recommend all potential tenants view the interior of the unit to ensure that it is suitable for their needs before applying. Please drive by the property to make sure that it is what you’re looking for. Contact us via email at or call our office at 360-333-0958 to set up an appointment to view the unit. Viewings will be scheduled for weekdays between 10:00 am and 3:30 pm. We will need your name, phone number and times that you and your roommates, if applicable, are available to see the property.

It may take a few days to contact the current tenant if the unit is not vacant, but once the viewing appointment is confirmed, we will contact you.



    • Applications and co-signer agreements can be accessed upon request and on our website. Once you have viewed the property, you may submit the application online. You will be able to access our application link via our website, Please speak with your property manager for the correct client code.

Applications are processed on a “first approved-first awarded” basis. This means that, even if your application is submitted first, you may not necessarily be awarded the unit. In the case of multiple applications for one unit, the first application screening that comes back with all criteria approved, will be awarded the unit. As time is of the essence in processing, turning your application in quickly and making sure it is complete helps to speed up the process. Please refer to our Rental/Lease Policies for the application criteria.


Application fees: $49.00 per person and $49.00 for co-signer.



  • We will call or email you when your application has been approved or denied. Deposits are due within 24 hours of approval. When paying your deposit, we will solidify your move-in date and set a lease signing appointment.


Lease Signing

  • At lease signing, the pro-rated first month’s rent will be due. All roommates will need to be present together to sign the lease unless special arrangements have been made ahead of time with the Leasing Manager. Lease signing appointments can be made in person or via e-sign.


Moving In

  • Utility accounts must be switched into your name as of the date of possession. Keys will be available for pick up Monday through Friday between 8:00 am and 4:30 pm. If you plan to move in on a weekend day, you can pick up your keys the Friday before provided that the current tenant has already vacated the unit. Otherwise, special arrangements will be made with the Leasing Manager. Complete your Statement of Conditions list and return it to our office within three (3) days after moving in.

Application fee is $49. Key Northwest LLC charges $34.00 for processing and administration, TransUnion will charge $15 for credit and background checks. Before checking the below check box – please ensure you have Pop-Up blocker disabled.
